Documents Required for a Schengen Visa: A General Guide

The most common problem in Schengen visa applications is not missing documents, but documents that are inconsistent with one another. In this article we explain which document categories are generally requested and what to pay attention to when preparing your file.

First, be clear: there is no single list

There is no single “Schengen documents” list that applies to everyone. The documents requested change with the country you apply to, the visa type and above all your personal situation. The documents requested from an employee are not the same as those requested from a retiree or a self-employed person. So instead of copying a list from the internet, you should work from a list prepared for your own situation.

Documents common to almost every application

  • Passport. Its validity period and blank pages matter. If your old passports contain previous visas, these are usually requested as well.
  • Biometric photo. Subject to specific technical dimensions and a recency requirement.
  • Travel health insurance. One of the distinguishing documents of Schengen applications. For details, see our article on travel health insurance.
  • Accommodation and travel plan. Where you will stay and how your trip will unfold are supported by documents.
  • Financial documents. Bank activity and similar documents showing that you can finance the trip.
  • Application form. The statements in the form must match the documents in your file exactly.

Documents that vary with your situation

Employees

Employees are usually asked for documents showing their relationship with the workplace: letters stating their position and employment status, social security records and leave information come first. It is important that the dates and job titles in these documents do not contradict your application form.

Students

Retirees

For retirees, documents showing retirement status and regular income are used.

Self-employed and business owners

In this group, business records and financial documents are at the centre of the file. The number of documents may be higher than for other groups.

The most common mistake: inconsistency

A complete file is not enough on its own. The dates in your application form and your reservation dates, your stated profession and your workplace documents, your accommodation address and your invitation documents must support one another. Even a small mismatch can lead to your file being reassessed.

Which country should you apply to?

For trips covering more than one Schengen country, the application is made to the country where you will stay the longest. If the stays are equal, the country of first entry is used. For country-specific information, see our countries page.
